How to Manage Different Prices Across Multiple Service Locations

Practices with more than one location sometimes charge different prices for the same service depending on where it is delivered. Market differences, overhead costs, and local competitive pricing all play a role. Onfire supports both approaches: location-specific rate cards with different pricing at each site, and a single rate card applied uniformly across all locations.

This guide covers both configurations.


Option 1: One Rate Card, All Locations

If your pricing is consistent across all locations, the simplest setup is a single rate card assigned to every location. Patients at any location see the same price and the same payment options.

Navigate to your rate card setup in the Onfire partner portal. Create or open the rate card you want to apply across locations.

In the location assignment section, check all locations where this rate card should apply. A single rate card can be assigned to as many locations as needed.

Save the rate card. It will be available at checkout for all selected locations.


Option 2: Separate Rate Cards by Location

If pricing varies by location, create a separate rate card for each location and assign it accordingly. The rate cards can share the same service name and description, but carry different prices and payment configurations.

Navigate to rate card setup and create a new rate card for the first location. Set the price and payment options appropriate for that site. In the location assignment section, select only that location.

Repeat for each additional location with its own pricing. Each location will then surface only its own rate card at checkout, and patients will see the pricing specific to where they are being seen.


Keeping It Organized

When running location-specific rate cards, a clear naming convention prevents confusion. A format like "Annual Wellness Program – Austin" and "Annual Wellness Program – Dallas" makes it easy to identify which rate card belongs to which site when reviewing your catalog.
